To create a survey, follow these steps:

1. After signing in to your Microsoft Dynamics CRM, click on Pobuca Loyalty menu.

The three tabs that are going to be used for surveys creation are:

  • Survey
  • Survey Questions
  • Survey Question Answers

2. Click on Surveys

3. Click on NEW to create a new survey

4. Fill in the fields in the form. The ones marked with a star are mandatory. Specifically:

Name: The name of the survey that will also appear as the title of the page when the recipient opens the survey to fill it in.

Subtitle: The subtitle of the survey that will appear under the survey's title / name when the recipient opens the survey to fill it in.

Description: The description of the survey that will be shown under the subtitle. Here you can write information or instructions about the survey.

Success Message: The message that will appear in cases where the survey contains questions and answers and the recipient answers all the questions correctly.

Participated Message: The message that will appear to the recipient after the survey is completed, such as a thank you message.

End Date: The last day a recipient can submit the survey.

End Date Message: The message that will be displayed to the recipient who completes the survey out of time.

Allow Multiple Responses: This field has to choices, "Yes"  and "No", and it is about whether the user will be able to complete the survey more than once or not. When the survey author wants to give the recipient the ability to complete the survey more than once, he must set the value to "Yes".

Submit Button: The name that will appear on the submit button.

Active: This field has to choices, "Yes"  and "No". When the field has the "Yes" value, the survey is active and when the value is "No", then the survey can not be opened by the recipient.

Survey CSS: CSS code is entered in this field so that the manager can intervene aesthetically on the survey's interface.

Owner: This field is automatically populated by CRM and indicates the user who created the survey.

Survey Questions: This field contains the questions of the survey in a summarized way (see the next paragraph to learn how to create survey questions). To add a survey question directly from this form, click on SAVE in order for the + icon to appear on this field. Once you SAVE, you will be able to click on the + icon and add questions to this survey.

5.  When you have finished filling in the form, click on SAVE.

Survey Questions

1. By clicking the Survey Questions tab (under Pobuca Loyalty menu), you will be presented with the survey questions created.

2. To create a new survey question, click on NEW.

3. When the creation form is loaded, you can start filling it in. The fields marked with a star are mandatory. Analytically:

Name: The name of the survey's question, which will also appear as the title of the question.

Survey: The survey which this survey question will belong to.

Copy Answers From:  In this field, the user can enter another survey question whose answers are the same as the answers of the new survey question being created, so there is no need to write the answers again. When the match is done, the desired answers will appear on the right side of the screen in the "Survey Question Answer" list.

Question Type: This field allows you to choose the type of the survey question from a set of available options.

Position: The position of the question in the survey.

Mandatory: This field has two options, "Yes" and "No". When the "Yes" value is set, it means that the recipient of the survey must answer this question, and when the "No" value is set, it means that it is not mandatory to answer this question.

Business Type: This field can be filled in only when the "Question Type" field has the "Text" value. The "Business Type" field provides a set of options for the type of the field about whether it is an email, phone number, card number or regular expression.

Regular Expression: This field can be filled in only when the "Business Type" field has the "Regular Expression" value. Regular expressions are selected from a set of options. You can check the following link https://www.regular-expressions.info/ to get more detailed information about its value.

Is Numbered: This field has two options, "Yes" and "No". When the "Yes" value is set, it means that the Question Answer appears with a number, while when the "No" value is set, it means that  the Question Answer appears without numbering.

Survey Question Code: This field is filled in automatically by the system.

Owner: This field is automatically populated with the Pobuca Loyalty user who creates the Survey Question.

Survey Question Answer: In this area, the user can quickly see the available answers of the survey's question. See the paragraph below, to learn how to create survey question answers. To add a survey question answer directly from this form, click on SAVE in order for the + icon to appear on this field. Once you SAVE, you will be able to click on the + icon and add answers to this survey question.

4. When you have finished filling in the form, click on SAVE.

Survey Question Answers

1.By clicking the Survey Question Answers tab (under Pobuca Loyalty menu), you will be presented with the survey question answers created.

2. To create a new survey question answer, click on NEW.

3. When the creation form is loaded, you can start filling it in. The fields marked with a star are mandatory. Analytically:

Name: The survey question answer name.

Survey Question: in this field the user must enter the survey question for which this answer is created.

Allow Text: This field has two options, "Yes" and "No". When the "Yes" value is set, the recipient can enter free text as an answer, and when the "No" value is set, then the recipient cannot enter free text as an answer.

Position: The position of the survey question answer among the other survey question answers within the survey question.

Value: This field will be populated automatically.

Survey Question Answer Code: This field will be filled in automatically.

Score: A value indicating the score of each answer in cases the user wants to draw a conclusion based on the responses of the recipients.

Owner: This field is automatically populated with the Pobuca Loyalty user who created the Survey Question Answer.

4. When you have finished filling in the form, click on SAVE.

Survey Rules

Rules are used in a survey in order to make it more dynamic. With survey rules, the recipient of the survey will be asked to answer different questions depending on the answers he/she gives during the completion of the survey.

To access the rules of a survey, the user should:

Click on Surveys tab > Click on the survey > At the survey's page, click on the three dots that appear at the top of the page > Click on the Rules Wizard as shown in the screenshot below.

In the next screen, the user will be able to create, edit or delete a survey rule.

Preview a survey

To preview a survey, the user should:

Click on Surveys tab > Click on the survey > At the survey's page, click on the three dots that appear at the top of the page > Click on the Preview Survey as shown in the screenshot below.

He will then be presented with a preview of this survey.
